When do the "extra" team members become relegated to the support team?

It reads like they should take part as support team members beginning the round when they do not take part in the main team.  So, in our case, we cannot field 6 decks in Round 3, so we get an extra support team member in Support Round 3.

Based on the Support Team battle list, it seems like they became available in Support Round 2.  While this is much more useful, it seems impractical due to the way the deadlines work.  If you have a battle near the end of the duel phase that could impact your support team size and your lieutenant is not around to watch it, he has to make his support team action post with incomplete information.  And since no one else can edit it....

Either way, I just want to make sure I understand how to handle it going forward.

Support Team members are moved immediately as shown in the Support Team battle list.  If your Lieutenant isn't around at the end of the round, the worst-case scenario is your team suddenly has another defender.  I don't have any problem with an if-then statement in the Support Team actions thread (ie if we have 2 Support Team members, both defend, but if we have 3 Support Team members, two defend and one attacks TeamX).  Just ensure it's concise and readable.

kev, does assassin damage or discard happen first?  In other words if the assassin is killing our only Aether Pillar can I discard it first from our Aether duo deck that lost this round, thereby breaking the system?

No.  Do the assassin damage first and then discard.  Later in the Event when you discard 30 from your 30-card deck, if an assassin damages a card that you are already forced to discard, select one card from your vault instead.

When we look at Support Team action submissions we compare whoever posted them to what is currently in the team's Member Roles thread.

Yes.  Starting immediately Psion may be used in Support Team battles.
